Child Protection Policy

At Embassy Camps, we work with students aged 9 to 19 across all our international programs, including our camps and excursions in Malaysia, Singapore, Bali, and Dubai. This policy applies to every Embassy Camps location and program worldwide, present and future. Every family who sends a child into our care is trusting us with something far more important than a great summer memory, and we take that trust seriously in everything we do, wherever in the world our camps run.
This page summarises our Child Protection Policy (CPP), which governs how we prevent, identify, and respond to any risk to a child’s safety or wellbeing. It applies to everyone connected to our programs globally: our own staff, seasonal Teachers, Camp Counselors and Camp Helpers, Tour Guides, transport providers, host venues, and any other partner who comes into contact with our students, regardless of country.
Who we are
Embassy Camps is an independent international youth education provider, committed to strict political and religious neutrality, non-discrimination, and transparency. Our work is guided by four core values: Responsibility in how we deliver programs and student care, Impact on the communities and students we engage with, an Enterprising spirit in how we solve the challenges of international youth travel, and Inspiration through our standards and advocacy for child safety.
What guides this policy
Our Child Protection Policy is built on recognised international and industry standards that apply consistently across every country in which we operate, including:
- The UN Convention on the Rights of the Child
- The WYSE Travel Confederation “Stay Safe” safeguarding requirements
- ISO 21001 (Educational Organizations Management Systems) and ISO 31000 (Risk Management)
While local laws and specific reporting authorities differ from country to country, the standard of care we hold ourselves to does not change. Five principles run through every decision we make, everywhere we operate: the best interests of the child always come first; every participant is protected equally regardless of background or nationality; children have the freedom to speak up; we actively listen to what students tell us about their safety and comfort; and students are involved in their own safety through clear briefings.
Recognising the risks
Camp environments bring together adults and children in positions of trust, and travel and group activities carry their own risks, wherever a camp is held. We’re upfront about that: any relationship involving trust or authority creates a power imbalance, and our job is to manage that imbalance through strict professional boundaries, not to pretend it doesn’t exist.
Our policy defines child ill-treatment broadly, covering physical abuse, sexual abuse, sexual exploitation, commercial exploitation, emotional maltreatment, negligence, and child labour. We hold ourselves to a minimum staff hiring age of 18 across all locations, and any part-time roles for younger helpers must never interfere with a young person’s own education or development.
How we screen the people who work with your child
Nobody joins Embassy Camps in a role involving contact with children, in any country, without going through the same multi-stage screening process:
- Face-to-face or video interviews
- Verification of professional experience and mandatory reference checks
- Background checks or Certificates of Good Conduct, wherever they can be obtained under local law
- Automatic disqualification for anyone with a record involving sexual offences, aggravated assault, or crimes related to child exploitation
This same standard applies to our local partners in every market. Transport providers, tour guides, and host venues must sign an ethical declaration accepting responsibility for child protection before we finalise any contract, and anyone with a relevant criminal history is excluded from contact with our students, regardless of location.
Standards our staff work to
All staff, whether Teachers, Camp Counselors, Camp Helpers, or Tour Guides, are trained on our Code of Conduct and this policy as part of onboarding, wherever they are based, and staff on excursions receive further specialised training. Some of the standards we hold everyone to, across every camp:
- No corporal punishment or physical discipline, under any circumstances
- Wherever possible, two adults present when working with children
- No inviting a child into private staff accommodation, except in a genuine emergency
- No personal use of mobile phones, cameras, or social media involving students
- Any past or current charges or convictions related to child protection must be disclosed immediately
- Staff must report any concern, however small, within one hour of becoming aware of it
Photos and media
We know parents care about where their child’s photo ends up, so this is treated carefully, no matter which camp it’s taken at. Only staff authorised by the Camp Director or our Communications team may photograph students. Images must be taken with consent, present children with dignity, and never reveal identifying details like full names or accommodation. Any photo used in marketing, brochures, or social media requires written parental consent, and every such image is reviewed and approved by our Communications team before it’s used.
If something goes wrong
We treat any safeguarding concern as a Serious Incident and respond accordingly, in every country we operate in. Any staff member who witnesses or suspects a problem is required to report it within one hour, to the Camp Operations Manager or Camp Director for that program. Reports from parents, guardians, or partners are just as welcome, and can go through the Camp Director or our official feedback channel.
Every report is investigated promptly and impartially, regardless of where it occurred. If a senior staff member is involved, the investigation is escalated to our Board of Directors to keep the process independent. Anyone who reports a concern in good faith is protected from retaliation, full stop.
Where findings confirm a breach of this policy, we act. That can mean formal warnings, immediate suspension, termination of employment, ending a contract with a partner organisation, and, where local law requires it, reporting to the relevant authorities in that country. While the core standards of this policy apply equally across all our destinations, the specific legal obligations for reporting and responding to incidents can vary by country, and we follow the applicable requirements in each location we operate.

This policy is reviewed at least annually, or after any major camp season, to reflect what we’ve learned and any updates to WYSE or ISO 21001 standards, and is applied consistently across all current and future Embassy Camps destinations.
